E-Mail

Our e-mail does not go through Psychiatry servers; We contract the service to UBC IT.

E-mail migrateion from Interchange & Exchange 2007 to FASmail (Sept. - Dec. 2011)

UBC IT has created a new e-mail service called FASmail (Faculty and Staff e-mail).  Software used on the Interchange e-mail servers was last upgraded in 2004 and is no longer supported by the vendor, so we have migrated all eligable Interchange accounts to FASMail.  This will be followed by a migration of Exchange 2007 accounts to FaSMail.

FASmail features

FASmail is an enterprise email service for staff, faculty and student employees of the University of British Columbia. The FASmail service furthers the academic mission of the University by providing timely and immediate communications access to the University, other institutions, organizations and individuals.

Features of the service include:

  • 1GB mailbox and calendar. (Interchange is only 0.2Gb) 
  • Free/Busy Look-ups for booking meetings, rooms and equipment. (post-migration) 
  • E-mail addresses and calendars of all departmental contacts using the service in one address book.
  • Ability to schedule and accept meeting requests with other FASmail account holders.
  • Options to delegate mailbox and calendar access to different users.
  • Virus protection and spam prevention using Sophos PureMessage.
  • The Outlook Web App provides an Outlook-like experience using a wide variety of web browsers.
  • Support for iPhone synchronization
  • Blackberry integration (BES): available as a paid option

FASmail is accessible via the Outlook Web App (https://www.mail.ubc.ca) and through any standards-based desktop e-mail application that supports the following protocols: Outlook Anywhere, Exchange Web Services, Secure POP, Secure IMAP, Secure SMTP, MAPI and ActiveSync.

Migration

All of our Interchange accounts have now been migrate to FASmail. 

  • any Interchange e-mail that was on the server (including my.ubc.ca) has been moved to your FASmail account and can be found in mailboxes beginning with "INT-"
  • any Interchange e-mail that is in your e-mail client (e.g. MS Outlook) will still be there.  You will need to reply using your FASmail account, because your Interchange account will be disabled.  Contacts and calendars will remain in your e-mail client.
  • any e-mail sent to your alias (e.g. jane.smith@ubc.ca) or your Interchange account (e.g. jsmith@interchange.ubc.ca) will be forwared to your FASmail account indefinately.  This will allow you to receive e-mail from majordomo e-mail lists and corrospondents who only have your old Interchange address.
  • address books can be exported from my.ubc.ca (Interchange webmail) to Outlook or Entourage.
  • you will immediately be able to access e-mail in the webmail version of FASmail.
  • you will need to reset your CWL password, before you can use your FASmail account.
  • you will need to re-configure your e-mail client (e.g. Microsoft Outlook) to pickup with the FASmail server.  This is a two stage process, for most e-mail clients.  Please click here, for more instructions.
  • you will need to reconfigure mobile devices (e.g. smart phones) for the FASmail server.
  • If you use a non-UBC e-mail service like Gmail to "fetch" e-mail from Interchange, you will instead need to configure FASmail rules to forward e-mail to the non-UBC e-mail service.  We will not be providing support for non-UBC e-mail services.  Please be aware that you could easily violate the BC Freedom of Information and Privacy Act, by using a foriegn owned e-mail service like Gmail or Yahoo.

Outlook users will need Outlook 2007 or later.  With the impending migration of Outlook 2007 accounts to FASmail, we recommend waiting for your account to be migrated.

Accounts

  • Please contact the psychiatry administration office staff, for FASmail account creation or changes.  Accounts are renewed automaticly, each fiscal year and we will send you an invoice if you have any optional services.  Initial 1000Mb exchange accounts are free to most faculty and staff.  Additional 1000MB storage is  $10/year.  Blackberry syncronising service is $100 to setup.

Password Changing

  • Exchange 2007 and FASmail - Passwords can be change on the appropriate web mail page (see above).

UBC Directory and E-mail Aliases

The UBC Directory provides for an e-mail alias protocol for those listed in the directory. 

The protocol of using  firstname.lastname@ubc.ca  as the standard e-mail address alias allows for e-mail sent to this alias to be redirected to an individual's e-mail account.  The implementation of this protocol is meant to eliminate the need to know the actual e-mail address for someone in the Department.  Many UBC departments, including Psychiatry, use this very helpful protocol.

SPAM Filtering

The UBC e-mail relays reject high risk e-mail, such as messages containing a virus attachment and messages identified as phishing (attempting to capture personal information).  Inbound e-mail with a high SPAM probability will also be rejected and senders will receive notification that their message has been rejected.  These SPAM and virus definitions are automatically updated and applied, ensuring the mail relays remain effective.  It's already discarding three quarters of mail destined for you, as SPAM, but misses the odd one.  Your options for more filtering are;

  • Setup more filtering in your e-mail client.  See http://www.it.ubc.ca/email/ubcemail/spamfiltering/spamfiltering.html
  • We can install anti-spam software on your computer but;
    • You will need to train it to identify spam.
    • Exchange2007/FASmail users may still get some SPAM on your wireless device, before your desktop computer can filter it.
  • Use the "Delete" key.
